VUE Permissions Reference Guide

A chart of VUE permissions and what they do. Search by using Control F to search and find a specific Permission and description in the tables below.

NOTE: Disabling the permission to access a certain area of VUE will remove it from the user's menu bar. If the user attempts to access an area that they do not have permission to be in, they will receive an "Access Denied" or "An error has occurred" warning. Accounting > General Ledger

Permission

Description

Journals

 

 

This feature allows users to access the Journal screen to view transactions posted to the current period or past periods. This is also the screen that is used to reverse journal batches (transaction posting). Any users with access to this screen will also be able to click the hyperlinks in the reference and control columns to access parts invoices, deals, customer/vendor records, repair orders, checks, and receipts. If the user does not have permission, the menu will not appear in the navigation window.

Schedules

 

 

 

The feature allows users to access the Schedule screen to view controlled transactions posted in the current and/or past periods. Users with access to this screen will also be able to view entries that have been reconciled from a schedule at least once. (A key number will be assigned to the transaction detail) Any user with access to this screen will also be able to click the hyperlinks in the reference and control columns to access parts invoices, customer/vendor records, deals, repair orders, checks, and receipts. If the user does not have permission, the menu will not appear in the navigation window.
General Ledger

 

 

This feature allows users to access the screen to create/view/edit General Ledger accounts. Any user with this permission will be able to view general ledger accounts, account details, balance forward, current balance, Year-to-date amount, reporting account (mapping to Financial Statement), split percentage, Month-to-date, and Year-to-date unit count forecasting, and control type. If the user does not have permission, the menu will not appear in the navigation window.

Manual GL Posting

 

The feature allows users to access the screen used for Manual postings to the journal. Any user with this permission will be able to create manual postings, saved and scheduled manual postings, and warranty invoices from OEM. If the user does not have permission, the menu will not appear in the navigation window.
Manual GL Posting > Post to Prior Year

 

This feature allows users to create manual postings to prior years. Any user with this permission can post to the previous year through Journal 99. If the user does not have permission, the menu will not appear in the navigation window.
Manual GL Posting > Post To a Locked Period

 

This feature allows users to access periods that have been locked for posting. Any user with this permission can post to the locked period. A period is usually locked after the Financial Statement has been completed; any additional postings will require recalculation and another submission to OEM. If the user does not have permission, the menu will not appear in the navigation window.
Post Vehicle Sales

 

 

The feature allows users to access deals closed in Sales, deals posted to the journal, and deals that are currently Open for Edit. Any user with this permission will be able to access Unposted Deals, view deal information, as well as post deals to the journal. This is also the screen where posted deals are reversed, and editing is allowed. Users are able to view commissions, open purchase orders, repair orders, and parts invoices. If the user does not have permission, the menu will not appear in the navigation window.

Schedule Reconciliation

 

The feature allows users to create a manual schedule reconciliation. If the user does not have permission, the menu will not appear in the navigation window.

 

Accounting > Cash and Bank

Permission

Description

Manual Checks

 

This feature allows users to access the manual check writing screen. Any user with this permission can create manual checks. If the user does not have permission, the menu will not appear in the navigation window.

View Check Register

 

This feature allows users to access the check registers for all bank checking accounts. Any user with this permission will be able to view all checks, including check details. *See Payroll Checks—if permission is enabled, users will have access to dealership employees' payroll checks.* The User will also be able to print additional copies of checks to plain paper. If the user does not have permission, the menu will not appear in the navigation window.

View Check Register > Void Checks

 

This feature allows users to void checks in the check register. Any user with this permission can void checks and void and re-issue new checks. If the user does not have permission, the menu will not appear in the navigation window.
View Check Register > Payroll Checks This feature allows users to access employees' payroll checks inside the check register. Any user with this permission can view checks printed through payroll and other employees' payroll check details. If the user does not have permission, the menu will not appear in the navigation window.
View Check Register> Reconcile Checking Accounts The feature allows users to reconcile checking accounts and see everything in the check register when enabled
1099s > 1099 Processing This feature allows users to access 1099s for the current and previous year. Any user with this permission will be able to create/edit/print/e-file 1099s. 

Check Register Report

 

The feature allows users to access a report of all check registers. If the user does not have permission, the menu will not appear in the navigation window.

8300 Report

 

This feature allows users to access the 8300 report. Any user with this permission can view all payments accepted through the system. If the user does not have permission, the menu will not appear in the navigation window.

 

Accounting > Accounts Receivable

Permission

Description

Customers

 

The feature allows users to access the customer database. Any user with this permission will be able to create/view/edit customer records as well as view Accounts Receivable activity and balance. Users can also assign default taxes, prices/parts/service codes, customer flags, and comments. If the customer class of Commercial, Fleet, or Wholesale is selected, users will also be able to create vendor records from customer records.

Receipt Book

 

This feature allows users to access the Receipt Book. Any user with this permission can create manual Accounting receipts, place them on hold, and view receipts created in Sales, Service, and Parts. Users can also void open receipts, reconcile receipts, print additional copies, and post receipts, which will create the daily deposit.
Vehicle Deposit Report The feature allows users to access the Vehicle Deposit Report including status, cashier, department, and account

Receipt Book Report

 

This feature allows users to access the Receipt Book report. Any user with this permission can create a report that includes all receipts created in the system.
Aged Analysis Report The feature allows users to access an Accounts Receivable report that includes aging, the last payment received, and the amount.

Statements

 

The feature allows users to create/print/export Accounts Receivable statements for one or all customers.

Calculate Finance Charges

 

The feature allows users to access the screen used to calculate Finance Charges. Any user with this permission can create/edit/post/void an active calculation. Users can also edit the Default Interest Rate and Minimum Finance Charge.

 

Accounting >Accounts Payable

Permission

Description
Vendors The feature allows users to access the vendor database. Any user with this permission will be able to create and edit vendor records. For every vendor record created, a corresponding customer record is created. Users will be able to view information on the customer record from this screen.
Purchase Orders This feature allows users to access the Purchase Order screen. Any user with this permission can create/edit/void/post Purchase Orders created in Accounting, Parts, and Service.
Accounts Payable The feature allows users to access the Accounts Payable screen. Any user with this permission can create/post/void Accounts Payable invoices. All Posted Purchase Orders will become unpaid Accounts Payables. Users can also print and post Accounts Payable checks from this screen.
Accounts Payable > Void Posted AP Entries The feature allows users to access Posted Accounts Payable Entries and void them.
Vendor Purchases This feature allows users to access a report that includes all debits and credits posted to vendor records from any account and schedule.

 

Accounting > Reports > Journal Reports

Permission

Description
Journal Summary The feature allows users to access the Journal Summary report. Any user with this permission will be able to view/edit the parameters needed to launch the report
Journal Detail The feature allows users to access the Journal Detail report. Any user with this permission will be able to view/edit the parameters needed to launch the report

 

Accounting > Reports > Schedule Reports

Permission Description
Schedule Summary The feature allows users to access the Schedule Summary report. Any user with this permission will be able to view/edit the parameters needed to launch the report
Schedule Detail The feature allows users to access the Schedule Detail report. Any user with this permission will be able to view/edit the parameters needed to launch the report
Schedule Account Summary The feature allows users to access the Schedule Account Summary report. Any user with this permission will be able to view/edit the parameters needed to launch the report

 

Accounting > Reports 

Permission Description
General Ledger Report The feature allows users to access the General Ledger report. Any user with this permission will be able to view/edit the parameters needed to launch the report
Trend Analysis The feature allows users to access the Trend Analysis report. Any user with this permission will be able to view/edit the parameters needed to launch the report

 

Accounting > Report > Daily Operating Control

Permission Description
Standard The feature allows users to access the Daily Operation Control - Standard report. Any user with this permission will be able to view/edit the parameters needed to launch the report
Expanded The feature allows users to access the Daily Operation Control - Expanded report. Any user with this permission will be able to view/edit the parameters needed to launch the report
Trend The feature allows users to access the Daily Operation Control - Trend report. Any user with this permission will be able to view/edit the parameters needed to launch the report

 

Accounting > Reports

Permission Description
Chart of Accounts The feature allows users to access the Chart of Accounts report. Any user with this permission will be able to view/edit the parameters needed to launch the report
Trial Balance The feature allows users to access the Trial Balance report. Any user with this permission will be able to view/edit the parameters needed to launch the report
Journal Account The feature allows users to access the Journal Account report. Any user with this permission will be able to view/edit the parameters needed to launch the report
Stock/Schedule Comparison The feature allows users to access the Stock/Schedule comparison report. Any user with this permission will be able to view/edit the parameters needed to launch the report
RO/Invoice Location The feature allows users to access the RO/Invoice location report. Any user with this permission will be able to view/edit the parameters needed to launch the report
Floorplan Report The feature allows users to access the Floorplan report. Any user with this permission will be able to view/edit the parameters needed to launch the report
Floorplan Rebate The feature allows users to access the Floorplan Rebate report. Any user with this permission will be able to view/edit the parameters needed to launch the report
Customer List The feature allows users to access the Customer List report. Any user with this permission will be able to view/edit the parameters needed to launch the report
Vendor List The feature allows users to access the Vendor List report. Any user with this permission will be able to view/edit the parameters needed to launch the report
Employee Positions The feature allows users to access the Employee positions report. Any user with this permission will be able to view/edit the parameters needed to launch the report
Employee Roles The feature allows users to access the Employee Roles report. Any user with this permission will be able to view/edit the parameters needed to launch the report
Report Generator The feature allows users to access the Report Generator.

 

Accounting > Monthly

Permission

Description
Financial Statement The feature allows users to access the Financial Statements screen. Any user with this permission can calculate and export the Financial Statement and lock the current period for posting.
Statistical Data The feature allows users to access the previous period's Statistical data. Any user with this permission will be able to view and edit the information
Reporting Account Setup This feature allows users to access the General Ledger and the OEM accounts they are mapped/reporting to. Any user with this permission will be able to view the General Ledger and Financial Statement details. Users can also view accounts that have a current balance but do not have a reporting account defined.
Reporting Account Setup > Modify Last Period of Prior Year to Current Period Any user with this permission will be able to update the last period of the previous year with the current period's reporting account setup.
Open/Close Periods The feature allows users to open the next period after the early open date defined in the default settings (Accounting > Maintenance > Default Settings > Accounting > Financial) and close the open period when two accounting periods are open. The system will pack and balance all schedules and prompt the user to post Automatic Entries.
Post Automatic Entries Any user with this permission will be able to manually post automatic entries that were not posted during the close period process.

 

Accounting > Miscellaneous

Permission

Description
Title Tracking This feature allows users to access Title tracking information. Any user with this permission can view and update titles for tracking purposes.
Accessories Due The feature allows users to access the Accessories Due screen. Any user with this permission will be able to view We Owes added onto deals that have not been received by customers and manually mark Accessories Due completed once customers have received products and/or services.
Reopen Parts & Service Tickets This feature allows users to access closed Parts and Service tickets. Any user with this permission can Reopen Parts and Service tickets and reverse associated batches.
Customer Merge The feature allows users to perform the customer merge feature in the customer record.
Within Global Permissions, you must have Read and Update access to:
• Override Credit Limit
• Edit Vendor A/P Account
• Edit Vendor P/O Account
• Edit Vendor Discount Account
• Edit Tax Exempt Status and Id
• Edit Non-Editable Customers to merge customers marked Do
Not Edit. Note that users without this permission may still
merge customers who are not marked Do Not Ed

 

Accounting > Maintenance

Permission

Description
Employees This feature allows users to access Employee Records. Any user with this permission can create and edit Employee records, assign Positions, Permissions, and Roles, and include employees in drop-down lists. If permission is enabled in Global Features, users can also access the DCS iD tab.
Roles This feature allows users to access Roles and Permissions. Any user with this permission can create and edit Roles to include or remove permissions as they see fit.
Journal Maintenance This feature allows users to access Journal posting templates. Any user with this permission can create posting templates for the manual GL posting screen and add/edit accounts and descriptions on them.
Schedule Maintenance This feature allows users to access Schedules. Any user with this permission can create and edit schedules to include or remove accounts. The control type will be added to this screen and edited in the General Ledger screen. In order to edit schedules, there must only be one period open.
Bank and Checking Maintenance This feature allows users to access Bank and Checking Account Information. Any user with this permission can create and edit Bank and Checking Account information.
Bank and Checking Maintenance > Edit Next Check Number The feature allows users to access the next check expected to print. Any user with this permission will be able to modify the next check number.
Daily Report Maintenance Any user with this permission will be able to create and edit Daily Reports to include or remove general ledger account information or forecasting.
Automatic Entry Maintenance The feature allows users to access Automatic Entries. Any user with this permission will be able to create new Automatic entries or edit existing automatic entries and the number of times they will post.
Vehicle Sales Maintenance The feature allows users to access deal posting templates. Any user with this permission will be able to create new templates or modify existing templates to include all accounts and fixed amounts to default into the Vehicle Sales screen when deals are posted.
Vehicle Purchase Maintenance The feature allows users to access. Any user with this permission will be able to
Service Account Codes This feature allows users to access Service Account Codes. Any user with this permission can create new Service Account Codes and modify existing ones.
Parts Account Codes This feature allows users to access Parts Account Codes. Any user with this permission can create new Parts Account Codes and modify any existing ones.
Payment Types This feature allows users to access Payment Types. Any user with this permission can create new Payment types and modify existing ones.
Financial Statement Maintenance This feature allows users to access Financial Statement setups. Any user with this permission can view and edit Financial Statements and company information.

 

Accounting > Customer Privacy Protection

Permission

Description
Transaction Viewer Dealership users will not have access to this screen, which is used by Dominion to solve issues.
Privacy Configuration Dealership users will not have access to this screen, which is used by Dominion to solve issues.

 

Sales > Vehicles

Permission

Description
All Vehicles Displays every vehicle that has ever been in the dealer and has sold, serviced, or ordered parts on. If disabled, the "All Vehicles" option in the navigation menu is not viewable.
Vehicle Inventory Displays all current vehicle inventory for the selected store. If disabled, "Vehicle Inventory" is not an available option under the Vehicle menu options.
New Vehicle Inventory
Displays the navigation menu option and displays a filtered view of the New Vehicle Inventory.
Used Vehicle Inventory
Displays the navigation menu option and displays a filtered view of the Used Vehicle Inventory.

 

Sales > F & I

Permission

Description
Prospects Customers looking to purchase from the dealership. Enabled grants the user permission to view and add new Prospect records.
Prospects > Show SSN and DL Enabled allows the user to view Social Security Numbers and Driver's License information once saved in a prospect record. If not enabled, the user will only see asterisks
Sales Desk The area where details of the deal are manipulated before being made a deal.
Deals Desks with agreed-upon purchase price, terms, and conditions
Outside Sales Items purchased aside from the initial sale.

 

Sales > Miscellaneous

Permission

Description
Customers People and companies that have previously bought vehicles or had service with the dealership
Vendors Partners of the dealership that provide various services
Purchase Orders Orders for purchase
Receipt Book Documents of transactions with customers, vendors, and customers for transactions are not included in deals. Users can view and create receipts with the access.

 

Sales > Reports > Vehicle

Permission Description
Inventory Stock Vehicle inventory reports on all vehicles in stock, including those on order, and shows vehicle cost types. Typically available to Accounting, Sales Managers, and F&I Managers. Excluding Salespersons.
Arrived Inventory Vehicles that are just arriving new or taken in on trade
Stocking Levels Break down of each make and model in stock
Daily Closing Report Details how many vehicles were sold by which person
Potential Trade-In Potential traded vehicles listed on Sales Desks that aren't closed deals
Sales Stock The Sales Stock report is the same as the Vehicle Inventory Report - it reports all vehicles in stock except for those on order, and this report excludes vehicle cost types. It is typically available to Salespersons and Management.

 

Sales > Reports > Sales

Permission Description
Sales Summary This is a high-level overview of sales. Grouping by options allows information to be broken down by make, model, salesperson, and key financial metrics such as profit, costs, etc.
Salesperson Performance A breakdown of each salesperson, with the make and model of the vehicle along with profit and commissions.
Sales Breakdown A breakdown similar to "Salesperson Performance" but with a focus on each sale showing the salesperson, vehicle, costs of the vehicle, and profit margins
Sales Manager Performance A breakdown of each sales manager, with the make and model of the vehicle along with profit and commissions.
Used Sales Analysis A breakdown for each Used deal, including the make, model, pricing, profit, and vehicle origin information.
Sales Follow Up List of Closed deals. Formatted for printing with areas to notate post-sales follow-up.
Transfer Report Breakdown of vehicles transferred

Pending Deals Breakdown of all pending deals
Deal Summary Breakdown of all deals and profits
Products Report Breakdown of products sold and profits
Service Contracts Report Breakdown of all service contracts sold and profits
Insurance Report Breakdown of all insurance products sold and profits
Lenders Report Breakdown of all lenders used and profits from reserves
Managers Breakdown by manager of profit performance
F & I  Stats A high-level overview of all the financials, such as retail data, penetration, income, and averages
F & I  Stats > Complete Sales Summary A high-level overview of sales

Visual Reports  
Prospect Status The report includes Prospect Status, Customer Class, and the Deal Status found on the Prospect Record.

Permission

Description
Employees This feature allows users to access Employee Records. Any user with this permission can create and edit Employee records, assign Positions, Permissions, and Roles, and include employees in drop-down lists. If permission is enabled in Global Features, users can also access the DCS iD tab.

Payroll > Maintenance

Permission

Description
Company Information The feature allows users to access Company defaults. This includes Basic Information (company name, address, Federal tax ID), FICA, FUTA/SUI, Account Setup (Account setup includes Payroll Company Default Accounts, Company Department Accounts, Company Position Default Accounts),
Misc Other Pay (ex. Miscellaneous Deductions, child support, garnishment, etc.) Disposable Earnings and Other Pays), Payroll check printing setups, ACH Setup, Worker Comp, State Ded. Insurance, Paid Leave Setup, Department Positions, ACA Setup
Employee Information The feature allows users to access Employee payroll defaults ( Basic, Additional Information, Account Setup, Insurance Retirement, Paid Leave, Misc Other Pay, ACH Setup, ACA Setup)
Automatic Entries The feature allows users to access the screen to create and edit Automatic Entries (These entries will automatically populate in payroll when set up, and the code is entered into the payroll being processed)
Archive Current Year The feature allows support users to access the screen used to archive the current Payroll year. Any user with this permission will be able to close the current Payroll Year after December 16th.
Company Information (Archived) The feature allows users to access archived Company defaults.
Employee Information (Archived) The feature allows users to access archived Employee defaults.
General Ledger The feature allows users to access General Ledger accounts assigned to the Payroll department.
Paid Leave The feature allows users to set up paid leave for employees. Sick time, vacation time, and holiday time may be front-loaded and can reflect rollover amounts, hours accrued, hours used, and hours available per employee.

 

Payroll > Payroll Process

Permission

Description
Enter/Edit Payroll Entries This feature allows users to access the screen to create/view/edit Payroll Runs. Any user with this permission can calculate/print/post employee payroll checks, create ACH and 401K files, and access employee payroll records through the hyperlinks in the payroll run screen.
Void Payroll Checks The feature allows users to access printed and posted payroll checks and select them to be voided. Any user with this permission can void payroll checks, create debit ACH files, and reverse the postings for selected checks.
Prior Period Entries The feature allows users to access the Prior Period Entry navigation menu
Prior Period Entries > Enter / Edit Prior Period Entries The feature allows users to access the Prior period entry screen. Any user with this permission will be able to create/edit/ and post Prior Period Entries.
Prior Period Entries >Void Prior Period Entries This feature allows users to access posted Prior Period Entries. Any user with this permission can Void Prior Period entries.

 

Payroll > Reports > Payroll 

Permission

Description
Register - Totals The feature allows users to access a Payroll Register Report by Summary or Detail. The Summary Report includes Total Employee Earnings, Total Employee Deductions, and Total Company Contributions. The Detail Report gives the Batch number, Check Number, Check Date, Payroll Date, Gross Pay and Net pay per employee, and the Total Employee Earnings, Total Employee Deductions, and Total Company Contributions. Any user with this permission will be able to
Register - Detail This feature allows users to access a Payroll Register Report that includes Employee Earnings, Deductions, and Company Contributions and is broken out by payroll period per employee. Any user with this permission can run this report and see all the data.
Register - Taxes This feature allows users to access a Payroll Register Tax Report, which shows the amount of federal, state, FICA, FUTA, and SUI withholding per employee for the date range entered in the report's parameters. Any user with this permission can run this report and see all the data.
Register - Export The feature allows users to access a report in grid form that has payroll period details per employee and includes Employee Name, Department, Check Date, Check #, PR Period Start, PR Period End, PR Batch, Reg HRs, Reg, Pay, OT Hours, OT Pay Vacation Hours, Vacation Pay, Holiday Hours, Holiday Pay, Sick Hours, Sick Pay, Federal Withholding, State Withholding. It also includes all deductions for employees and companies. Any user with this permission will be able to run this report and see all data.
Check Stubs This feature allows users to access Employee Check Stubs, which can be printed per employee for the date range defined in the parameters. Any user with this permission can run this report and see all data.
Check Register This feature allows users to access employees' payroll checks inside the check register. Any user with this permission can view checks printed through Payroll and view other employees' payroll check details. If the user does not have permission, the menu will not appear in the navigation window.
Acct Distribution This feature allows users to access a report that shows the total amount for each account used in a payroll period for the date ranges set in the report's parameters. Any user with this permission can run this report and see all data.
Earnings The feature allows users to access earnings details per employee for the date range selected in the parameters. This report has four Report Types: Summary, Detail, Extra Detail, and Export. Any user with this permission can run this report and see all data.
Overtime The feature allows users to access a report that shows the Overtime Hours and Overtime Pay per employee. The user can choose Summary or Detail for the Report Type. Any user with this permission can run this report and see all the data.
401K This feature allows users to access a report that shows the 401k amounts withheld for the employee and the company.The user can choose Summary or Detail for the Report Type. Any user with this permission can run this report and see all data.
Pension Plan This feature allows users to access a report that shows the Pension Plan amounts withheld from the employee and the company. The user can choose Summary or Detail for the Report Type. Any user with this permission will be able to run this report and see all data.

Birthday This feature allows users to access a report showing the employees' names, birthdays, and addresses. Any user with this permission can run the report and see all the data.
QIP This feature allows users to access a report that will show the Employee ID, Social Security Number, Employee Name, Gross Pay, and amounts out of check for QIP(Qualifying Insurance Plan) and non-QIP (Non-Qualifying Insurance Plan); any user with this permission will be able to run this report and see all data.
Vacation/Sick The feature allows users to access a report that shows Holiday Vacation and Sick Pay amounts and Holiday Hours, Vacation Hours, and Sick Pay Hours used per employee. Any user with this permission can run this report and see all the data.
401K Eligibility The feature allows users to access a report that shows an employee's name and hire date to determine if the employee is eligible to enroll in the company's 401k plan. Any user with this permission will be able to run this report and see all data

State Withholding The feature allows users to access a report that shows the employee's Name, ID, Tax State, State Taxable Amount, and State Tax Withheld from the paycheck. This report will show amounts to be reported to the state if required. The report parameters can be set by check date or payroll date and have the option for date type of exact dates, preset date range, dynamic date range, month, quarter, or year. Any user with this permission will be able to run this report and see all data.
Local Withholding This feature allows users to access a report that shows the employee Name, ID, Local Code, Local Name, Local Taxable Amount, and Local Tax Withheld from the paycheck. If required, this report will show amounts to be reported for local taxes. The report parameters can be set by check date or payroll date. Any user with this permission will be able to run this report and see all data.
Worker's Compensation This feature allows users to access a report that shows information for reporting to Workers' Compensation Insurance. This report shows the Date, Workman's Comp Code for employees, any amounts exempt from Workman's Comp, and the Adjusted Gross amount. Any user with this permission will be able to run this report and see all data.
Quarterly Totals The feature allows users to access a report that shows Quarterly Totals and includes the Total Number of Employees, Gross Wages, Federal Taxable Wages, Federal Tax Withheld, Social Security Taxable Wages, Medicare Taxable Wages, State Taxable Wages, State Tax Withheld, Total Advance EIC and Employer portions owed. This report is often used in conjunction with Form 941 for reporting purposes. Any user with this permission will be able to run this report and see all data.
Unemployment/Insurance Deductions This feature allows users to access a report that shows Unemployment Insurance information due. This report includes the options of State Disability Insurance, State Workforce Development, State Family Leave insurance, State Unemployment, and Federal Unemployment taxes. Any user with this permission will be able to run the report and see all data.

ACA > ACA Information Return This feature allows users to access a report that allows them to create ACA (Affordable Care Act) returns for employees that can be submitted electronically to the IRS and a PDF copy for employees. Parts > Counter

Description
Parts Inventory This option allows users to access the Parts Inventory grid when navigating through the menu selections. The Parts Inventory grid provides a list of available parts currently in inventory. If disabled, Parts Inventory option doesn't show up in the menu selections. It also does not allow the user to access the Parts Inventory record by clicking the part number hyperlinks located in the Parts Desk, Parts Invoice, Back Counter or from within any part reports in which the part numbers are hyperlinked.
Parts Desk This option allows users to access the Parts Desk, and price out parts and create quotes. Users can then convert the quote into an Invoice, add the part to an order, special order, or add the parts to an RO in Back Counter. This is also the location where parts kits are created as well.
Back Counter This option allows users to add parts to operations within an RO. Users can also create Pricing and Availability for techs and advisors to upsell customers.
Parts Request Roster
This allows users to receive notifications when Techs needs Parts. The tech will put in a request and the user will receive a notification with the tech's request. If this option is turned off, the user can still access the Back Counter via the Parts Desk.
Parts Invoices Allows users to access Parts Invoices. This is where counter persons can sell parts at the counter.
Special Orders This allows users to access special orders, where they can manually add a special order part, search special orders by part number, and batch archive special orders.
Repair Orders Allows users to access Service Repair Orders. The user will not have the ability to add parts to the Repair Order unless Edit Parts - Repair Order is active in the Global Features.
Accessories Due This is not commonly used by parts personnel. However, for those that do have access, this allows them to designate that accessories due to the customer have been completed.

Parts > Management

Permission

Description
Parts Orders Allows the user to create a suggested order, based on ordering criteria, or a manual parts order for both OEM and non-OEM ordering. Also, the user will be able to receive and post order quantities into the parts inventory to increase the On Hand quantities.
Parts Returns Allows the user to create a suggested return based on parameters of their choosing. Manual returns for OEM and non-OEM parts can also be entered and submitted. Core returns are also processed in this module simply by checking the Core Return check box.
Parts Inventory Update
With this permission, the user will be able to run the monthly OEM Parts update. This updates part prices, descriptions, etc. Some customers may refer to this as their 'master list/tape update' because it is updating the parts from the 'master' list available from the manufacturer. After the update has been completed, the user will also receive any appreciation or depreciation value changes to the parts inventory.
Purchase Orders Allows the user to create a Purchase Order that can be attached to a Parts Order and Parts Return, or used for outside services.
Parts Phasing This will allow the user to perform the Parts Phasing function, which will move part numbers from Phased In to Stocked and Phased Out to Inactive status. The user will have the ability to select the part numbers individually or select all.
Inventory Management Tool
This will allow a user to create a query using certain criteria based on a part record's fields to make mass changes to the selected group of part numbers. An example would be to change the Bin Location for a group of part numbers that met the criteria. Part number quantities are not allowed to be modified within this application.

Description
Parts Invoices Allows the user to sell parts for retail, internal and wholesale customers.
Invoice Batch Close This allows user to batch close parts invoices, where the invoice is for a wholesale customer and the invoice has been printed. Without this, they would have to close each invoice individually.
Daily Close This allows the user to see the daily close information, the value of parts sold, by individual day.
Receipt Book This allows the user to access the receipt book, which displays the receipts for ROs and parts invocies that have payment information.
Cashier Receipts Report
This report will show a breakdown of received payments (Visa, MC, Check, Cash) which have been closed in VUE.

Parts > Physical Inventory

Permission

Description
Physical Inventory Process This permission allows a user to create count sheets for their physical inventory. This is usually done once a year: a literal physical count of all or a portion of their parts inventory. The function also allows the user to print/export a count sheet of the desired parts inventory. The user may then insert the inventory count into VUE to adjust the inventory records to reflect actual inventory quantity on hand.

Parts > Miscellaneous

Description
Customers This allows the user to View/add/edit customer information, including the customer snapshot and personal information. Global permission "Edit Uneditible Customers" may need to be added.
Vendors This permission allows users to add and edit parts vendors. This is where "Parts Vendor" needs to be checked to be able to create parts orders/returns for specific vendors.
All Vehicles This permission allows a user to add and edit vehicle information.
Daily Operating Control

Allows the user to access the DOC report.

Standard = This permission enables access to a report that shows parts sales, within a particular date range, as well as MTD, YTD Daily, and monthly forecast.

Expanded=This permission enables access to a report that shows parts sales, within a particular date range, as well as MTD, YTD, Daily, and monthly forecast. The expanded report also includes last month's and last year's numbers.

General Ledger This permission allows the user to access defined account numbers in the general ledger.
Change VIN or Stock Number This permission allows a user to change a VIN from one to another and also update the stock number for the corresponding vehicle.

Description
Sales Inquiry This report displays repair order and/or parts invoice values for each invididual RO/parts invoice. The parts associated and well as the close date are displayed in the report. The report can further be defined to contain information only for a specific customer. For example, if a parts user wanted to know the amount a specific customer has purchased from the parts department
Parts WIP Value This report displays the value of 'work in progress' of parts billed on ROs and parts invoices that have not been closed. The totals include both positive and negative quantities billed.
Parts WIP Part Types This report is the same as the Parts WIP Value report, but is broken out by Part Types (General Parts, Tires, GOG, etc.)
Parts Sales History This report allows a user to see individual part sales history for ROs and/or parts invoices within a particular range, monthly, etc. The user can further define the report to display tickets/invoices that are open and/or closed.
Parts Invoices Report This report may be run on open OR closed invoices, and further refined by customer class and/or salesperson. Useful to see the part numbers and sales prices of each individual invoice.
Op Code Sales Report This report will display parts sales information, grouped by opcode,and associated cost/sale value for each part. Useful if the user wants to see the value of parts sold using a particular opcode.
Sales Productivity This report will display sales information for Internal, Warranty, and/or Extended Warranty tickets. This displays the cost, sales value, and gross profit percentage, etc. grouped by salesperson. The report can be further refined to display open and/or closed tickets as well as run for a specific salesperson.
Counterperson Performance Displays totals for countermen to determine sales totals within defined date range.
Sales Performance This report is similar to the sales productivity report in the information that is displayed (for example gross profit percentage, etc.), but displays a total value of ROs AND parts invoices for ALL paytypes.
Parts Sales Activity Report This report displays each part number and description along with the number of times that part has been billed to ROs and invoices (displays each separately). The report may be grouped by MFC, part number, or description.
Lost Sales Report This report displays the lost sales for each part, grouped by part number, description, or bin. The number of previous months to include may be specififed. The maximum number of months that the report can go back is 12.
Inventory Type Sales Report This report can display the part sales information, grouped by part number or description, for one or more part inventory types.

Wholesale Non-taxable Sales report This report displays wholesale customer who are not taxable, tax ID numbers, and their total sales for a specified date range.

Parts Price Override Report This report provides a list of invoices and/or repair orders where any of the override price codes OC, OV, or IO have been used.
Parts Adjustment Report This report provides a list of parts where the cost or quantity on hand of a part has been adjusted.

Excessive Bin and Negative On Hand This report provides a list of parts where the bin is over the max bin quantity and/or which parts have a negative quantity on hand.
Counter Pad Report This report will display the bin, on hand quantity, and on order quantity of all parts within a particular range of part numbers. Also included on the report is a cost and list value of those parts.
Outstanding Inventory Report This report provides a breakdown of order sources and MFC/OEMs and their associated total value of the parts within those sources / OEMs.
Ranking Report This report provides a way to rank the parts by total value sold for each individual part.
Management Report Displays various useful information for parts managers such as: total value of inventory, cost of sale for previous months, along with phasing information.
Inventory Value History Report Displays details of the monthly parts inventory update like value, supersessions, etc.
Inventory Performance Analysis Differentiated by part type and order source, this report displays the value history of parts inventory.
Parts Inventory Export This will display a list of parts that are in stock along with relevant information such as description, cost, on hand quantity, etc.
RO Fill Rate Report Displays a list of ROs which have parts billed out, sortable by date created/closed, part number, etc.

Employees This permission is used for modifying employee information such as employee personal details and company access. This permission is also used for assigning permissions and positions for the employee.
Price Codes This permissions allows a user to create and edit price codes that are used for caluclating parts sales prices.
Fees This permissions allows a user to create and modify fees. Fees include charges, discounts, and taxes.
Parts Inventory Parts Type
This permission allows a user to access the parts inventory types. These are used for grouping parts for reporting purposes and assigning order sources to the part types.
Header Fees This permission allows a user to create header fees. Header fees are utilized to group multiple discounts, taxes, and/or charges together. This allows a user to add one header fee to an invoice and the associated taxes, charges, and/or discounts will be applied all at once.
Order Sources This permissions allows a user to create and modify order sources. Order sources are another way to group parts together and assign parts phasing criteria, parts order criteria, price codes, and parts inventory types.
Order Groups Allows grouping of order sources.
Op Codes This permission is used to add and modify op codes. While opcodes are typically used in service, it does serve a purpose for the parts department as it allows them to assign specific parts to op codes so they do not have to enter them manually. Especially when the op code usually has the same parts for particular makes and models.
Parts Menus Currently redirects to maintenance menu feature. This permissions allows the user to access maintenance menus. Primarily for the purpose of assigning specific parts to a menu item that would then be utilized by service for maintenance package pricing.
Delivery Routes Provides Part Total information, including Cost of Sales, Sales, and GP% for each Delivery Route.
