Update Op code when a Tech is defined

This feature gives the Service Manager(s) the ability to change or update the Op code when a technician is already assigned to the operation. A single message now lists obstacles to making the change.  A new Op Code Discrepancy Report is also available.

Permissions

Accounting > Maintenance > Roles > Service Advisor and/or Service Manager

  • In Global permissions, enable the Update “Op Code When Tech Defined permission”.

  • In Service > Reports > Audit, enable the “Op Code Exceptions Report”.

Best Practices

It is recommend that Service Advisors add the Op Code before adding a tech as there is less room for error. Op Codes can have skill level, labor hours, fixed price, fixed labor cost, and labor sale. Adding the op code prior to adding a technician can prevent Skill Level and Fixed Labor Cost discrepancies.

Op Codes may not be added when:

  • There are multiple technicians on the operation.

  • A technician has been paid for the operation.

Op Codes may be added without any discrepancy messages when:

  • The Op code has no fixed labor costs, and the skill level has not been defined.

  • The Op code has fixed labor costs, the technician has not been paid, and the skill level has not been defined.

  • There are fixed labor costs, the technician has not been paid, the skill level is defined, and the assigned technician has the defined skill level.

Op Code discrepancies may be allowed and will be recorded if:

  • The op code has fixed labor costs, the technician has not been paid, the skill level is defined, the technician does not have the defined skill level, and the technician is not clocking time.

    • Two options are presented.

  1. Keep the technician - The original and new values are both included on the Discrepancy Report discrepancy noting.

  2. Remove the technician from the operation - Removes the technician from the operation, and allows the op Oode to change.

  • The op code has fixed labor costs, the tech has not been paid, the skill level is defined, the tech does not have the defined skill level, and the tech is clocking time.

    • A warning message is presented stating that the Technician Labor Hours pay will remain unchanged and cause a skill level discrepancy.

    • Two options are available.

  1. Apply Changes - Allows the Op code change without changing the technician’s labor hours or pay, and records the discrepancy.

  2. Cancel - Takes you back to the operation without any changes.

  • The op code has a skill defined, the tech does not have the defined skill, and the technician has clocked time but is not currently clocking time.

    • A warning message is presented stating that the Technician Labor Hours pay will remain unchanged and cause a skill level discrepancy.

    • Two options are available.

  1. Apply Changes - Allows the op code change without changing the technician’s labor hours or pay, and records the discrepancy.

  2. Cancel - Takes you back to the operation without any changes.

Op Code Exception Report

Navagate to Service > Reports > Audit > Op Code Exception Reports.

  • Define parameters.

  • Click [Run Report].

When discrepancies are accepted, the discrepancy is recorded for management review.
