Manager Approvals and Voiding Approvals on Repair Orders
Easily manage, void, and re-submit Manager Approvals to ensure accurate service operations and warranty claim processing.
Introduction
Manager Approvals help ensure that specific service operations meet your dealership's standards and requirements before proceeding—especially for warranty work or high-dollar services. To improve flexibility and reduce errors, this feature allows authorized users to void an existing Manager Approval. This helps correct mistakes without the need to delete and recreate operations, ultimately supporting accurate warranty submissions and protecting dealership revenue.

Submitting a Manager Approval
You can request Manager Approval directly from the Repair Order screen using the steps below:
Navigation Path:
Service > Advisor > Repair Orders
Steps:

Locate the Repair Order

Use filters or sorting options in the primary grid to find the correct Repair Order.

Click the corresponding line to open it.

Add or Edit an Operation

To add a new operation, select [Detail Add].

To edit an existing operation, click on the operation line.

Submit for Manager Approval

Inside the Operation Detail Screen, click the Manager Approval hyperlink.

In the popup, click [Yes] to submit the request.

A confirmation message will appear. Click [OK] to close the Operation Detail screen.

Granting Manager Approval from Notifications
Manager Approvals can also be granted quickly and easily from the Notifications Alert, allowing managers to respond from anywhere in the system without navigating to the Repair Order directly.
Steps to Approve from Notifications:

Click the Bell icon at the top of the screen to open the Notifications Alert.

In the Active tab, find the approval request you want to respond to.

Click the [Approve] hyperlink within the alert to open the Manager Approval window.

In the Approved dropdown, select Yes.

(Optional) Enter any additional information or notes in the Comments field.

Click the [Save] button to complete the approval.
Voiding a Manager’s Approval
Mistakes happen. Whether the wrong operation was approved or warranty requirements have changed, authorized users can now void a previous approval and request a new one.
Who Can Void an Approval?
Any user who has permission to approve an operation (such as a Service Manager or Fixed Ops Director) can also void the approval.
How to Void an Approval:

Open the Manager Approval popup from the operation.

Click the Void button.

A confirmation popup will appear:

Click Yes to proceed with the void.

Click No to cancel and return to the Manager Approval screen.

Once voided:
-
The operation will return to a Manager Approval status.
-
Users can make necessary edits and submit a new approval request.
-
The new request can include updated comments or notes.

Note: Both the voided approval and the new approval are automatically recorded in the operation’s history, providing full transparency and traceability. This ensures your records are accurate and auditable, which is especially important for warranty processing and internal reviews. |
