Mazda Warranty Submission

Submitting Warranty Claims to Mazda

Introduction

Repair Order details are transmitted to Mazda through the DMI feed, but warranty claims must be submitted to Mazda separately. The process for submitting warranty claims has been meticulously designed to be as straightforward and user-friendly as possible. This ensures that any user responsible for submitting these claims can do so promptly and without unnecessary complications, promoting a smooth and efficient process for all parties involved.

 

Navigate to:  OEM DCS > Mazda > Warranty Batch Process

  1. Select [New] in the action ribbon

  2. Click [Select] in the action ribbon to view available claims

  3. Select each claim you want to add to this batch

  4. Once you have selected your claims click [Save] in the action ribbon

  5. You can now close the batch window and return to it later to add additional batches throughout the day/period.
Note: There is a filter on the claim selection grid. By default, the grid will only show unsubmitted claims. If the user needs to re-submit a previously submitted claim, they can change the filter to “Submitted” to see all claims (with some exceptions)Screenshot 2025-02-19 095543

 

Building a Claim File

  1. Select [Generate] in the action ribbon

  2. Tip:
    If a claim is created in error, it can be voided by clicking Screenshot 2025-02-19 100018  in the action ribbon

  3. Select [Attachments] in the action ribbon

  4. Click on the file name link to download the file

  5. The file will be downloaded to the users Downloads  folder and the file can now be uploaded to the Mazda Warranty Claim Submission website.

Note:
The process is crafted to be exceptionally user-friendly and straightforward, ensuring that users can effortlessly navigate the system and submit their warranties to Mazda with ease. This design minimizes the potential for confusion or errors, allowing for a seamless experience that eliminates unnecessary delays.

Troubleshooting:

Can't find a claim in VUE

The claim may be marked Submitted if it was previously exported. Follow the batch process through step 4, then follow the steps below:
  1. Click the word Unsubmitted in the top right drop down in the action ribbon 
  2. Click Submitted to change the grid filter to show submitted claims
  3. Type the RO number into the RO Number search box in the grid (left-most column)
  4. Click the checkbox for each claim to add to this batch
  5. Click [Save] in the action ribbon

Error when trying to Upload a File to Mazda

Ensure you upload the latest file. If old claim files clutter go to My Downloads,  to clean them up:

  1. Open My Downloads.
  2. Search ".CLM" and press [Enter].

  3. Select a file.

  4. Redownload and upload the claim file to Mazda again. If issues persist, contact VUE Support.

Redownload a Claim File

Navigate to:  OEM DCS > Mazda > Warranty Batch Process

  1. Click [Open] in the action ribbon and select [Submitted]  to show submitted batches

  2. Find the claim you want to download and click on it in the grid
  3. Select [Attachments] in the action ribbon 
  4. Click on the file name link to download the file
  5. The file will be downloaded to the user’s Downloads folder. The file can now be uploaded to the Mazda Warranty Claim Submission website.
