Common Behaviors in OEM Labor Time Guide Integrations

Introduction

Each OEM LTG interface has a slightly different look and may have different behaviors. However, when importing labor op codes to a repair order operation, the import behavior is the same. This article outlines the common behavior during the "Import" step, applicable across all OEMs unless otherwise specified.

Best Practices:
  1. Accurate entry and transmission of this data are essential for the approval of warranty claims and dealership reimbursement.

  2. Reviewing this article will assist in the understanding of each scenario to avoid any errors during import.

Upon importing LOPs from a labor time guide, the operation will be updated in two places where possible:

  1. First, the sum of hours selected will update the Labor Hours on the Operation Labor grid. Depending on company settings, Actual Hours may also be updated on the Operation Labor grid.
  2. Second, the labor codes and hours imported will be added to the Operation Warranty Labor grid.

Operation Labor Grid Scenarios

One or More Labor Lines (no paid techs):

This is the most common scenario.

  1. Select labor codes for import (follow Import Labor Codes instructions)
  2. Imported labor time is summed and added to the first labor line on the Operation Labor grid.

No Labor Lines:

Importing labor codes when no labor lines are present on the operation Labor grid will cause a new labor line to be added with no tech assigned.

  1. Select labor codes for import (follow Import Labor Codes instructions).

  2. A new labor line is added to the Operation Labor grid (no tech assigned).

  3. Imported labor time is summed and added to the labor line on the Operation Labor grid.

Paid Technicians:

Importing labor codes when there are paid tech lines on the operation.

  1. Select labor codes for import (follow Import Labor Codes instructions)
  2. Prompt: “There is a difference of [#] Labor Hours but the technician has already been paid. Would you like to add a new labor line for the difference?”
    1. Selecting No: Operation Labor grid is not changed. Labor Codes/Hours are still imported to Warranty > Labor grid.
    2. Selecting Yes: A new labor line is added with the difference in hours and no tech assigned as shown below:

Operation Warranty Labor Grid Scenarios 

Replace, Add, Cancel:

Importing labor codes when codes are already present in the Warranty > Labor tab prompts user to Replace existing labor codes or Add new labor codes to those already present.

  1. Choose labor codes for import (follow Import Labor Codes instructions)
  2. Prompt: Warranty information already exists for this operation. Would you like to replace or add to the existing warranty lines?

Replace Existing Labor Codes:

  1. Labor Hours (and Actual Hours when applicable) will be zeroed out on the

  2. Labor Hours (and Actual Hours when applicable) will be updated with sum of newly selected labor code hours
  3. Existing labor line will be deleted from the Operation Warranty Labor grid, and the newly imported labor codes and hours will be imported

Add New Labor Codes:

  1. Labor hours (and Actual Hours when applicable) are updated with current value plus the sum of newly added labor code hours
  2. Newly selected labor codes and hours are added to the Operation Warranty Labor grid in addition to those already present

Caution: When selecting [Cancel] operation labor time is not updated, and warranty labor codes are not imported.
