Existing Repair Order (RO) Notification

The notification system for existing customer repair orders is designed to minimize errors and prevent the duplication of entries.

Introduction

To help streamline the repair order process and enhance efficiency, the system is designed to notify you of any existing repair orders (ROs) tied to a customer. This notification feature serves a critical purpose: it prevents the creation of duplicate repair orders for the same customer. When you enter a customer's name or vehicle identification number (VIN) and the system identifies existing ROs, you will receive a notification that displays relevant details. This allows you to either select the existing RO for further action or create a new one if necessary.

Best Practices:

  • When searching by customer name, be aware that a customer may have multiple vehicle identification numbers (VINs) associated with their profile.
  • Verify the VIN and customer name, before creating a new repair order to avoid unnecessary duplication of data.

 

 

 

Navigate to: Service > Advisor > Repair Orders > Create new RO

There are two ways to be notified of an existing repair order:

  • Enter the VIN# and [Tab] over Screenshot 2025-02-26 142000
  • Entering the customer name Screenshot 2025-02-26 141922

If the system identifies any existing repair orders, a notification appears as shown below:

When the notification for an existing repair order (RO) is displayed, there are two options:

  • Click on the RO# hyperlink to the left to continue with the existing repair order.
  • Select the [Create New RO] button on the bottom right to start a new repair order.

Note:
In the event that no existing repair orders are found, the system does not display a notification.

The notification feature allows efficient management of customer requests and reduces the risk of duplicate entries by providing real-time alerts for existing repair orders. This capability saves time by eliminating redundant data entry, and boosts overall operational efficiency.
