Creating a Prepaid Special Order Parts order without a Negative On-Hand Quantity
VUE is a permissions-driven system that tailors security access to suit each users needs. Access to each menu item is managed by an Administrator at your dealership. See the Help article on Roles and Permission to learn how.

Creating the Parts Invoice
Navigate to Parts > Counter > Parts Invoices
- Click on the [ New +] button in the Action Ribbon.
- Input the customer name (last name, first name) into the customer field.
- Input the part number(s) in the grid.
- In the Actions column, select the "SO Part" from the dropdown.
- In the Special Order window, input the Quantity to order, Order Preference, and Input the word "Prepay" or "Prepaid" in the (free form) Comment field. and click on [Submit].
- Click on the [Save] button in the Action Ribbon.
Accept the Prepayment
In the Parts Invoice screen
- Click on the Cashier tab.
- Select a Payment Type from the dropdown.
- Click [Save] in the Payments window.
Addressing the Negative On Hand Quantity
After accepting the prepayment
- Click the Main tab.
- Zero out the Bill quantity for the Special Ordered Parts.
- Click [Save] in the Action Ribbon to save the Invoice.
- Hover over the [Print] button in the Action Ribbon and select Invoice from the dropdown to print the invoice.
Placing the Order
Navigate to Parts > Management > Parts Orders
- Click on the [ New +] button in the Action Ribbon.
- Enter the Vendor Number, or name in the Add New Parts Order window and click the [Create] button.
- Click on the [Add SO Parts] button in the Action Ribbon.
- In the Special Order Browse window, mark the checkbox of the lines you want on this order and click the [OK] button to add it to the Parts Order.
- Click the [Save] button in the Action ribbon.
- Use the [Place Order] button in the Action Ribbon to place the order.
Receiving the Order
Once the part shipment has arrived.
Navigate to Parts > Management > Parts Orders
- Search and Select the Parts Order.
- Use the [Receive Parts] button in the Action Ribbon to select the parts to receive at this time.
- Input the Packing Slip Number (if applicable), and click the [Submit] button.
- Click the [Yes] button to post the parts.
Closing the Parts Invoice (Print the Parts Invoice)
Navigate to Parts > Counter > Parts Invoices
- Filter/Search and Select the Parts Invoice.
- Click in the Bill field and change the quantity to the amount to be billed.
- Click on the [Save] button in the Action Ribbon.
- Select Close from the dropdown list under the [Close] button in the Action Ribbon.
